This article provides background information on the safety instructions in Oribi WorkpassID, abbreviated as 'WVI'.
Status of a Safety Instruction
A Safety Instruction has three possible statuses.
Active
The Safety Instruction is switched on and can be completed by workers and visitors. Whether this is a requirement for being admitted to the work location depends on the project settings.
Archived
The Safety Instruction is switched off. Workers, visitors and third parties cannot take this test. If they had already completed this Safety Instruction while it still had the status Active, the results do remain valid.
When to use: when you want to start using an updated version of your Safety Instruction, but you are happy for people who passed the previous version to remain valid.
Inactive
The Safety Instruction is switched off. Workers, visitors and third parties cannot take this test. If they had already completed this Safety Instruction while it still had the status Active, those results are no longer valid.
When to use: when the Safety Instruction contains an error, or when you want to start using an updated version of your Safety Instruction that differs so much from this one that workers need to be instructed again. This applies only to workers/visitors/third parties who have not yet reported to the work location; once a worker has signed, the status of this Safety Instruction is no longer checked until it potentially expires.
Multiple project introductions at the same time
Oribi WorkpassID supports the use of multiple safety instructions at the same time. This is useful when the organisation has made the safety instruction available in multiple languages. When a worker, visitor or third party logs in, they can choose from all active safety instructions and so select the language that suits them best.
Do not add safety instructions that differ in content. For example: if the organisation has one safety instruction for working safely at height and one for working safely with dust, the worker only needs to pass one of the two to gain access to the work location. The organisation then cannot verify whether the correct safety instruction has been followed. This is improper use of the safety instruction functionality.
What is the WorkpassID Safety Instruction?
It is also possible to use the WVI. This instruction is an initiative by Oribi that more and more companies are joining. A worker must complete the WVI once a year and can thereby demonstrate that they have taken in a number of safety topics. The WVI is offered in six languages. After further instructions at the work location, this person can gain quicker access to (multiple) projects of multiple WorkpassID customers. Would you like to take part in this initiative as well? Send an email to support.workpassid@oribi.nl .
Safety Instructions with an expiry date
In the settings of a project introduction, you can indicate whether the pass result of the project introduction remains valid indefinitely or whether there is an expiry date.
You set the validity as a number of months after the pass date. The expiry date is therefore not a single day in the year on which everyone has to retake the Safety Instruction. The expiry date of a passed PI is always the pass date plus the number of months set for the Safety Instruction.
If you change the validity period afterwards, all expiry dates of past results change immediately as well.
WorkpassID automatically sends an email to the worker when the Safety Instruction is about to expire. There are three emails in total. They are sent 7 days and 1 day in advance, and on the day of expiry itself. The email also states that access to the work location is no longer permitted if you have an expired safety instruction.
