On some projects attendance registration is used. One way to do this is by having everyone check in and out with the Oribi WorkpassID app. This can be done manually by scanning a QR code, but also automatically based on your location. This check-in/out method is called geofence.
How does automatic check-in and check-out work?
Make sure you have the Oribi WorkpassID app and activate it. Read here how to do that.
Are you added as a worker on a project where automatic check-in and check-out is used? Then turn on automatic check-in via the Use my location switch on the project screen.
Have not granted the required permissions yet? The app will automatically open the settings page so that you can grant the required permissions.
Settings for automatic check-in
You can find all settings for automatic check-in via the hamburger menu → Settings → Automatic check-in.
Required permissions
Under the Permissions heading you can see which permissions have been granted. For automatic check-in and check-out these two are required:
Access to the location
Access to background location
Without these permissions, automatic check-in and check-out will not work. You can only use the Use my location switch on the project screen after both permissions have been granted.
The following permissions are not required, but recommended:
Access to notifications: without this permission, you will not get notified when you enter or leave a work location
Access to physical activity: with this permission, the app uses less battery
Automatic check-in
Under Automatic check-in you choose how the app behaves at a work location. Choose from:
Yes, always (default): Every time you enter or leave a work location, the Oribi WorkpassID app automatically checks you in and out. You will receive a notification each time as confirmation.
Remind me: You will not be automatically checked in or out, but you will receive a notification when you enter or leave the work location. You can then check in or out yourself by tapping the notification.
Always manual: You will not be automatically checked in or out and you will not receive any notifications.
Notification settings
Under Notification settings you decide how often you receive notifications for check-in and check-out:
Always (default): you receive a notification on every check-in and check-out
Once a day: you receive at most one notification per day
Disabled: you receive no notifications for check-in and check-out
When you arrive at the work location
Have you turned on automatic check-in for a project? The app will then automatically track when you enter or leave a work location.
What happens when you arrive depends on the setting selected under Automatic check-in:
Yes, always: you are automatically checked in and receive a notification as confirmation
Remind me: you receive a notification asking whether you want to check in for this project
Always manual: you do not receive a notification; you check in yourself via the app
When you leave the work location
In the same way, you will be automatically checked out, or receive a notification, within a few minutes of leaving the work location.
Turning off automatic check-in and check-out
For safety reasons, the client wants to know whether you are working at the work location. That is why, it is useful to let the app keep track of this automatically.
Do you want to turn off automatic check-in and check-out? Turn off the Use my location switch on the project screen.
Do you want to disable location data for the Oribi WorkpassID app completely? Read here how to do that.
Why does the Oribi WorkpassID app ask for my location?
For safety reasons, the client wants to know whether there are people at the work location. Some locations are easy to close off with a fence and access control, others are not.
If you allow the Oribi WorkpassID app to ask for your location, you will automatically receive a notification when you enter or leave the work location. This way you will not forget to check in or out.
The Oribi WorkpassID app does not use for your exact location, it only uses an "approximate" location.
The Oribi WorkpassID app asks for access to your location when the app is open and active (foreground), and when it is running in the background (background).
Do not want to give permission for location data? Then the app cannot send you notifications.
What about privacy?
Oribi never knows your exact location. The way WorkpassID checks you in and out is called geofence. The app sends the work location information to your phone. Your phone keeps track of whether you are near one of the work locations. As soon as that happens, the Oribi WorkpassID app receives a signal. Your location data is never sent to Oribi. Oribi and the client only know whether you are at the work location and what time you arrived or left.
Your exact location is never sent to Oribi or your client.
Does Oribi now know where I live?
No. Your location stays on your phone and is not sent to Oribi.
Is what Oribi does allowed under GDPR?
The data that clients have about you must comply with GDPR. Read more about Oribi and GDPR here.
Does Oribi handle my data safely?
We do everything you would expect to process your data safely. Read more here.
Will my phone battery drain quickly because of this?
Not really. In our tests the extra consumption is about 3% per day. The Oribi WorkpassID app checks your location periodically in the background. Energy consumption is lower than with apps like Flitsmeister or Google Maps.
I have feedback for Oribi
Feedback is always welcome! We want to make automatic check-in and check-out as good and easy as possible. Share your feedback with the Oribi Servicedesk.
